The question was an annual plan. The bigger lever was elsewhere.

A client wanted to know whether an annual plan made sense for a Microsoft 365 license. A second question came with it: could one employee take over another person’s Copilot license?

Before I recommend anything, I want to know what is already there. I checked which subscriptions are running and how long they commit, what they cost in the company’s admin portal and who actually needs which feature. I bought nothing and changed nothing.

The answer fit on one page

The annual plan only pays off after ten months of use. The recommendation: stay monthly.

A Copilot license can be moved from one person to another at any time. But the employee gets it cheapest in a bundle, at the next renewal.

One point comes before any order: without that license, two people very likely cannot use the company’s own AI assistant with its knowledge. So a test with their accounts comes before the purchase.

What nobody had asked

The biggest lever was the whole team’s licenses. At their next renewal, they can run considerably cheaper as a bundle. It wasn’t in any of the questions, but it was on the same page.

The result was not an order but a basis for a decision. That is what a large task in Flex looks like: clearly scoped, with a result you can build on.

Before adding costs, find out what is really needed.
